Exhibitor Terms and Conditions

Quick Reference Guide

Participation in any TrinVerse Productions Inc. event constitutes acceptance of the current Exhibitor Terms and Conditions. This guide summarizes key exhibitor responsibilities and does not replace the official agreement. Where this guide differs from the Exhibitor Terms and Conditions, the full Terms and Conditions shall prevail.

1. Eligibility

  • Only approved exhibitors may participate.
  • All products and services must comply with applicable Canadian laws and Event policies.
  • The Organizer reserves the right to refuse or remove any exhibitor, product, or display that violates Event policies or negatively impacts the Event.

2. Booth Operations

  • Use only your assigned booth space.
  • Booth sharing or transferring is prohibited without written approval.
  • Keep aisles, emergency exits, and neighbouring booths clear at all times.
  • Booths must remain staffed during public Event hours unless otherwise approved.

3. Professional Conduct

Exhibitors are expected to maintain a welcoming, respectful, and inclusive environment.

The following are prohibited:

  • Harassment or discrimination
  • Threatening or abusive behaviour
  • Disruptive conduct
  • Illegal activity
  • Failure to follow Organizer or Venue instructions

Violations may result in removal without refund.

4. Merchandise

Exhibitors may only sell products they are legally authorized to sell.

The following are prohibited unless specifically authorized:

  • Counterfeit or bootleg merchandise
  • Copyright or trademark infringing products
  • Illegal or unsafe products
  • Recalled products
  • Restricted items prohibited by law or Venue policy

The Organizer may request proof of licensing or ownership at any time.

5. AI Artwork

Where Event policies restrict AI-generated artwork, exhibitors must comply with those policies.

The Organizer may request reasonable proof of authorship or licensing.

Products that do not comply with published policies may be removed.

6. Weapons & Adult Merchandise

Replica weapons, edged items, and adult-oriented merchandise must comply with all Event policies and applicable laws.

Additional requirements may include:

  • age verification
  • approved signage
  • secure packaging
  • peace bonding or inspection
  • restricted display requirements

7. Noise & Demonstrations

  • Keep music and sound at reasonable levels.
  • Demonstrations must not block aisles or interfere with neighbouring exhibitors.
  • Follow Organizer instructions regarding excessive noise.

8. Safety

Exhibitors must:

  • comply with Venue fire regulations;
  • use approved electrical equipment;
  • keep exits clear;
  • immediately follow emergency instructions.

Unsafe exhibits may be closed immediately.

9. Food & Beverage

Food or beverage sales, sampling, or distribution require Organizer approval and must comply with applicable health regulations and Venue policies.

10. Privacy & Photography

Exhibitors collecting customer information are responsible for complying with applicable privacy laws.

Photography and video recording may occur throughout the Event for promotional purposes.

11. Insurance

Exhibitors are responsible for their own property and inventory.

Certain exhibitors may be required to provide proof of liability insurance before participating.

12. Cancellations

Cancellation requests must be submitted in writing.

Refunds are subject to the published cancellation schedule contained in the Exhibitor Terms and Conditions.

Payment processing fees are non-refundable unless required by law.

13. Compliance

Failure to comply with Event policies may result in:

  • removal of merchandise;
  • suspension of sales;
  • booth closure;
  • revocation of exhibitor credentials;
  • removal from the Event without refund;
  • ineligibility for future TrinVerse Productions Inc. events.
