Quick Info
- The minimum age to submit panels is 18 years old.
- Panelists will be expected to behave in a professional manner.
- Panels & workshops that Staff observe to contain 18+ material, can be cancelled at our discretion.
- Unless pre-approved, Panelists may not sell anything during their panel.
- Workshop panelist may apply to have a portion of their supplies reimbursed. Please include a detailed list of items you’d like considered for reimbursement, along with an approximate overall cost.
- Harvest Haunt Fest will provide tech such as speakers, projector, screen, chairs, tables and microphones, as outlined in the panelist submission form. The Panelist to bring a laptop or any other equipment needed.
- We cannot guarantee internet access at the event
More Information
- Potential panelists do not have to pre-purchase badges ahead of submitting their events for consideration.
- Panelists who submit and are approved for two or more panels can be eligible for additional passes.
- Approved Panelists can be expected to be contacted and confirm their ability to present their panel/workshop, and discuss any additional logistics (type of event, attendance estimates, technical requirements, special requests, etc.) within 3 weeks of submitting their applications.
- Approved Panelists will be contacted again one week prior to the convention to confirm that they still available to run their panel/workshop.
- Approved Panelists may pick up their badges at Registration. Passes may be picked up at any time during the event (We encourage pick up as early as possible).
- Panelists who pick up their badges but who fail to do their panel or break our policies and conduct (barring illness/unavoidable emergencies) can be banned from future TrinVerse Productions Inc. events.
- If the event needs to move or cancel panels, panelists will still be able to keep any approved badges provided to them.
- Any panels not accepted initially will be placed on a standby list. In the event an opening appears, we will notify the standby panelist to see if they can take the opening.
- If anything requires immediate attention for your panel, immediately inform any staff member on site to make arrangements prior to the start of the panel itself.
- Panelists must arrive at their designated panel location 30 minutes prior to their start time for sign-in.
Panelist Conduct
Discussion of sexually explicit content is only permitted during panels designated “18+”. Behaviour deemed inappropriate for panels where legal minors (defined as those under 18 years of age) may attend could result in the termination of a panel in progress and/or the cancellation of a panel group’s scheduled panel(s).
- Panelists may not offer food and/or drinks to attendees.
- Panelists may not consume alcohol right before or while conducting a panel, or at any time on the premises period.
- Panelists may not promote illegal activities, subject to Canadian law.
- Slander is not permitted. Panelists may express their personal opinions during their panels, but panelists may not attack the character of others – present or not.
- Physical & Verbal assault upon anyone is strictly prohibited, and will not be tolerated.
"No-Show" Policy
When situations arise where panelists are not able to commit to their scheduled times due to extenuating circumstances, the Panelist must contact the Event team immediately.
Panelists failing to show up at their panel without notice to the Event team may be banned from running panels at future TrinVerse Production Inc events.
